Ribbon Cutting Guidelines
A successful ribbon-cutting or groundbreaking event is a wonderful way to celebrate a new business opening, a significant company milestone, or the launch of a new facility or project. Ribbon Cutting Events are an exclusive membership benefit offered by The Caldwell Chamber. We invite you to join the Chamber, and our team can partner with you to help make your event memorable and impactful. Here are some key elements to consider—and the Caldwell Chamber is ready to assist you in planning every step of the way!
Step 1 | Join The Chamber & Plan Ahead
- How to Schedule a Ribbon Cutting: Join The Chamber FIRST! Please reach out to Indee Swanson at 828-726-0616 or Indee@TheCaldwellChamber.com
- Choose the Right Date and Time: Start planning your Ribbon Cutting at least 2 months in advance to ensure availability and ample promotion time. The Caldwell Chamber typically holds ribbon cuttings on Tuesdays or Thursdays at 11:30 a.m. to help our ambassadors plan ahead. However, we are flexible and will work with you to select the best date and time based on the type and size of your event.
Create a Detailed Agenda: Let’s work together to outline the event flow, including welcome remarks from Bryan Moore our CEO, speeches, introductions, the ribbon-cutting timing, networking opportunities, and any planned tours or demonstrations.
Step 2 | Inviting the Right Guests
- Leverage Chamber Resources: The Chamber will assist in creating graphics and promoting your event through our Newsletter and Social Media
- Invite Your Network: Reach out to friends, family, vendors, suppliers, and social media followers. This will ensure a great turnout for you and your business!
- Send Timely Invitations: Use a mix of email, social media, and traditional mail, and follow up with reminders. We will help cross-promote you!
- Encourage Media Coverage: Contact local newspapers, local radio stations! For larger events, the Chamber will provide a formal press release.
Step 3 | Create an Exciting Atmosphere
- Decorations and Setup: Use branded decorations, banners, and balloons to create a festive environment. Our staff will take photos for promotion and memories. Background music and a portable microphone are available to create the ambiance for your celebration.
- Provide Refreshments: Offering light snacks or catered food can enhance the welcoming atmosphere.
- Engage the Audience: The Chamber will lead guest engagement and provide the ribbon and BIG scissors for the ceremony. Photos and videos will be taken to capture your big moment!
Step 4 | Smooth Event Execution

Assign Roles and Responsibilities: While the Chamber handles most duties, consider assigning roles like greeting guests or managing registration for larger events.

Prepare Speeches and Materials: Keep speeches brief and engaging, and have promotional materials ready. Tell us your DREAM for your new business and what you will be offering to the community.
Step 5 | Leverage, Market & Promote

Promote on Social Media: Utilize platforms like Facebook, Instagram, and LinkedIn before, during, and after the event.

Capture the Moment: The Chamber may provide a professional photographer and assist with capturing key moments, including live video for our Chamber Champion and up members
Step 6 | Provide a Memorable Experience
- Share event photos on our social media channels
- Feature your business in our email newsletter, which reaches elected officials and community leaders
- Highlight your event on the Chamber’s Facebook Page
- We’re committed to helping you build lasting visibility in the Caldwell business community.
